April 18, 2006 Bishop’s Committee Meeting Summary

Reasons to Celebrate!!!

-   Pledges reached the level of this year’s projected budget!

-   The Search Committee budget to bring in a Settled Vicar has reached $3,300.00 thanks to a number of donations!

-   Parishioner donations to “Operation Starfish” met the target of $2,000.00 for the construction of a house for a homeless family in Haiti.  Thank you Jack Doscher and Donna Seelbach for all the work to oversee this project!

-   The 6 upstairs offices are rented and bringing in $2,500.00 a month.  Thanks to Bill DeRouchey for your diligent work!

-   Val Jackson sold his camper and donated the proceeds of $250.00 to pay for the repair of the small oven of the stove in our kitchen!

-   St. Philip’s has entered into contract with Rev. Bill Kelly as Associate Vicar to Rev. John Duncan!

Bishop’s Committee and Vicar’s Requests:

-   The Church budget can only support an Administrative Assistant for 20 hours a week.  As such, in order to prioritize needs and not exceed the hours of service by Mardi, work requests must be given to Father John who will prioritize and make the appropriate assignments.  Please do not go directly to Mardi with requests.

-   Use of Church facilities for any reason must be by nonprofit organizations.  If any organization that uses our facility makes a profit, St. Philip’s could loose its nonprofit status.  In the future, all use of the facility needs to be approved by the Bishop’s Committee.

-   In order to assure proper budget bookkeeping, all funds raised at St. Philip’s, for any organization or cause, must be accounted for through the Church Financial Book.  All fundraising activities must be pre-approved by the Bishop’s Committee.  St. Philip’s will then assure the funds are transferred to the appropriate organization.

Facilities Update

The Fire Marshall required $1,200.00 in upgrades and repairs to the building which have been accomplished thanks to Barbara Lyon.  However, Barbara and Bill DeRouchey are still in negotiations for a required stove hood replacement at a cost of $3,336.00.  In addition, the Bishop’s Committee approved $6,000.00 for necessary upgrades to the upstairs office entrance which will be supported by our rent income.

The volunteer work day several weeks ago was one of the most successful in recent memory.  Many storage rooms were cleaned and organized.  The Vesting Room will now house the Audio Video equipment and the restroom supplies and files will be stored in the back hallway closet next to where the chairs are stored.  The meditation room is now clean and will also act as the Music Room. 

2006 Budget/ Financials

The Church’s General Financial situation has been improving as pledge payments have been steadily arriving.  St. Philip’s currently is behind $7,000.00 in its Fair Share owed to the Diocese.  We plan to start paying some of the Fair Share contribution starting this month.  As a result of this debt, we will be postponing our application for Parish Status until the Settled Vicar is on board.

Search Committee Update

The telephone interviews have been completed and we are now down to 4 semifinalists.  Committee membership has been divided into pairs and is scheduled to visit individual candidates at their parishes over the next several weeks.  As such, the Bishop’s Committee is beginning to develop a list of questions they would like the finalists to answer when they visit St. Philip’s.  The final leg of the process is to present the Search Committee’s finalists to the Bishop’s Committee for their review and selection of the new Settled Vicar.  We are still hoping for a July 1, 2006 start date.
